Most office searches in Malaysia follow the same path. You view a few units, pick the one that feels right, sign the letter of offer and only then call a designer. By that point the floor is yours for three years, columns and all.
This guide is for business owners, finance heads and office managers who are about to lease. It explains what an interior designers office space test-fit is, what it should check, who should draw it, and which lease terms it should shape.
CTN Interior Solutions has planned and built offices in Malaysia since 2001, and evaluating premises before a lease is part of our space planning work. The advice below comes from that side of the table.

A test-fit and a space plan sound alike, but they are drawn at different times for different reasons. The short video below explains the difference.
Space Plan vs Test Fit – What’s the Difference?

1What Is an Office Test-Fit?
Quick Answer: An office test-fit is a simple layout that places your desks, rooms and support spaces onto the real floor plan of a unit you are thinking of leasing. It answers one question: does this space work for this team? It is a decision tool, not a design, and it is drawn before you sign.
A test-fit sits early in a chain of drawings. Each one adds detail and costs more time:
| Drawing | When it is made | What it answers |
|---|---|---|
| Block plan | While viewing units | Roughly which zones go where |
| Test-fit | Before the lease is signed | How many desks and rooms fit, and what blocks you |
| Space plan | After the lease is signed | The agreed layout, room by room |
| Design and construction drawings | Before approvals and tender | Exactly what gets built, and how |
A test-fit does not choose finishes or furniture. Our guide to the work of an office floor plan designer covers the later space plan in detail.
2Why Test-Fit Before You Sign a Malaysian Lease?
Quick Answer: In Malaysia, the lease often fixes more than the rent. It sets the fit-out period, the reinstatement duty at the end and the landlord’s approval rules. A test-fit before signing shows whether the unit suits your team, and gives you facts to negotiate those terms while you still can.
Beyond head count, three things are usually settled at the letter-of-offer stage:
- Fit-out period: how long you get, often rent-free, to build before rent starts. A test-fit shows how long to ask for.
- Reinstatement: most landlords ask tenants to return the unit to its original state at the end.
- Landlord works and approvals: extra power, air-conditioning hours or a new door may need the landlord’s consent or cost.
Once the letter of offer is signed and the deposit is paid, your bargaining power on all three drops sharply. If you are new to office projects, our complete guide to office interior design in Malaysia explains where the lease sits in the whole process.
3How Many Desks Does Each Shortlisted Unit Really Give You?
Quick Answer: In our illustrative comparison, three units of the same 5,000 sq ft gave 42, 36 and 30 desks once columns, cores and frontage were drawn in. The cheapest unit per sq ft was not the cheapest per desk. Only a test-fit on each unit shows that difference before you sign.
| Unit | Avg rent psf per month | Desks | Meeting rooms | Annual rent | Rent per desk a year |
|---|---|---|---|---|---|
| Unit A: KL City tower floor Central core, wide column grid, glass on three sides | RM6.80 | 42 | 4 | RM408,000 | RM9,714 |
| Unit B: older Petaling Jaya block Deep plan, close columns, windows on one side | RM4.61 | 36 | 3 | RM276,600 | RM7,683 |
| Unit C: Subang Jaya shop office, two floors Narrow frontage, staircase and toilets split each floor | RM4.69 | 30 | 2 | RM281,400 | RM9,380 |
Illustrative scenario by CTN Interior Solutions. Desk and room counts are modelled, not from a real unit. Rents are 1Q 2026 area averages from Knight Frank via The Edge Malaysia; annual rent = rent psf × 5,000 × 12.
The rents are the Knight Frank 1Q 2026 area averages reported by The Edge Malaysia. Unit B is cheaper per sq ft, yet its deep plan and tight columns cost six desks. Unit C loses more, because stairs, toilets and a pantry repeat on each floor.
For smaller units, our guide to interior designers for office space under 2,000 sq ft shows how fast fixed rooms eat a small plan.
4What Should a Test-Fit Check in a Malaysian Building?
Quick Answer: A good test-fit checks the building as well as the layout. In Malaysia that means columns and cores, window walls and afternoon sun, air-conditioning capacity and hours, power supply, fire safety items such as sprinklers and exits, and the landlord’s fit-out rules. Each can block a layout that looks fine on paper.
| Check | What to look for | Why it matters |
|---|---|---|
| Columns and core | Column spacing, core position, ceiling height | Sets how many desk rows and rooms fit |
| Windows and sun | Which walls face west, blinds or film already fitted | Hot glass walls make desks near them hard to use |
| Air-conditioning | System type, capacity, after-hours charges | Meeting rooms and server rooms may need extra cooling |
| Power and data | Spare load, riser access, existing floor boxes | Upgrades can need landlord consent and cost |
| Fire safety | Sprinkler and smoke detector layout, exit routes | New rooms may move sprinklers and need approval |
| Landlord rules | Fit-out guide, working hours, deposits | Decides what you may change and when |
Grade A towers usually have a written fit-out guide; older blocks often have fewer rules but weaker services. Our guide to Grade A fit-out rules in Kuala Lumpur covers the tower side, and our article on office authority submissions explains which works need council or fire approval.

5What Does Leasing the Wrong Size Cost?
Quick Answer: At JLL’s Q2 2026 Kuala Lumpur average of RM6.88 per sq ft a month, every extra 500 sq ft you lease costs about RM41,280 a year, or RM123,840 over a three-year lease. Overleasing by 2,000 sq ft costs close to half a million ringgit across the same term.
| Surplus space | Extra rent a year | Three-year cost (relative) | Three-year cost |
|---|---|---|---|
| 500 sq ft extra | RM41,280 | RM123,840 | |
| 1,000 sq ft extra | RM82,560 | RM247,680 | |
| 1,500 sq ft extra | RM123,840 | RM371,520 | |
| 2,000 sq ft extra | RM165,120 | RM495,360 |
Modelled estimate by CTN Interior Solutions using the JLL Q2 2026 Kuala Lumpur average rent of RM6.88 psf per month (via Real Estate Asia). Excludes service charges, which add to the cost.
The rent figure is from JLL’s Q2 2026 Kuala Lumpur office data reported by Real Estate Asia. Common causes of the wrong size include:
- Head count guessed, not counted: planning for every name on payroll when hybrid staff are rarely in at once.
- Agent rule of thumb: a single sq ft per person figure applied to every unit, whatever its shape.
- Growth padded twice: once by the manager and again by the agent.
If your team works hybrid, our guide to sizing an office for hybrid work explains how to plan for the busiest day instead of every name.
6Who Should Draw Your Test-Fit: Landlord, Agent or Your Own Designer?
Quick Answer: Landlords and agents often offer a free test-fit, and it is worth taking. But it is drawn to show their unit works. An interior designers office space test-fit from your own team compares every shortlisted unit against one brief.
| Who draws it | Usual cost to you | Whose question it answers |
|---|---|---|
| Landlord’s planner | Often free | Can this unit be let to this tenant? |
| Leasing agent’s planner | Often free or bundled | Which unit can close the deal? |
| Your own designer or consultant | A fee, or part of a later design contract | Which unit suits our team and budget best? |
A landlord’s test-fit rarely flags weak air-conditioning or a costly reinstatement clause. Before you appoint anyone, our guide to the different types of office interior company and our comparison of freelancers, studios and design and build firms show who offers this kind of early planning.
7How Fast Is the KL Office Market Moving?
Quick Answer: Faster than two years ago. Knight Frank put KL prime vacancy at 31.3% in 4Q 2023 and 22.1% in 1Q 2026. JLL reported 14.8% across Kuala Lumpur in Q2 2026, with rents edging up to RM6.88. Good units let quicker in a tighter market, so a test-fit needs to be ready in days, not weeks.
| Period | Source and market | Vacancy | Rent psf per month | Type |
|---|---|---|---|---|
| 4Q 2023 | Knight Frank, KL prime | 31.3% | RM5.84 | Recorded |
| 1Q 2026 | Knight Frank, KL prime | 22.1% | RM6.12 | Recorded |
| 1Q 2026 | JLL, Kuala Lumpur | 15.2% | RM6.86 | Recorded |
| 2Q 2026 | JLL, Kuala Lumpur | 14.8% | RM6.88 | Recorded |
| End-2026 | JLL, Kuala Lumpur | 16.4% | – | Forecast |
Sources: Knight Frank Asia-Pacific Office Highlights 1Q 2026 via EdgeProp; JLL Kuala Lumpur Q2 2026 via Real Estate Asia (Q1 vacancy derived from the reported 0.4-point fall). The two firms measure different stock, so compare within each series.
The Knight Frank figures come from EdgeProp’s report on the 1Q 2026 office highlights, and the JLL figures from its Q2 2026 Kuala Lumpur update. JLL also expects 2.64 million sq ft of new space by end-2026, which may push vacancy back up.
Have your brief and head count ready before viewings start, so a test-fit can follow within days.
8Where Does a Test-Fit Sit in the Leasing Timeline?
Quick Answer: In our illustrative 20-week timeline, the test-fit takes place in weeks 4 to 5, after viewings and before the letter of offer. Design, approvals and fit-out follow the signing. Placing the test-fit later than week 5 means the lease terms are already set before anyone has drawn your team on the floor.
| Stage | Wk 1–2 | Wk 3–4 | Wk 5–6 | Wk 7–8 | Wk 9–10 | Wk 11–12 | Wk 13–14 | Wk 15–16 | Wk 17–18 | Wk 19–20 |
|---|---|---|---|---|---|---|---|---|---|---|
| Brief and head count | ||||||||||
| Viewings and shortlist | ||||||||||
| Test-fits on 2–3 units | ||||||||||
| Negotiate letter of offer | ||||||||||
| Sign tenancy, pay deposits | ||||||||||
| Design and approvals | ||||||||||
| Fit-out works | ||||||||||
| Move in |
Illustrative scenario by CTN Interior Solutions for a 5,000 sq ft office. Real timelines depend on the building, approvals and the size of the fit-out.
The fit-out period is where the timeline is tightest. If the rent-free period agreed in the letter of offer is shorter than the build, rent starts on a site that is still working. Our office fit-out timeline for tenants shows week by week what fills that stage.
9Which Lease Terms Should the Test-Fit Shape?
Quick Answer: Use the test-fit to agree four things before signing: the fit-out period, the reinstatement scope, landlord works such as extra power or cooling, and consent for new rooms and signage. Each is far easier to win before the deposit is paid.
| Lease term | What the test-fit shows | What to ask the landlord |
|---|---|---|
| Fit-out period | Number of rooms, services work and likely build time | A rent-free period that covers design, approvals and build |
| Reinstatement | Which walls, ceilings and services you will add | A written list of what must be removed at the end |
| Landlord works | Shortfalls in power, cooling or data | Upgrades done by the landlord, or a contribution |
| Approvals and signage | New rooms, doors and branding positions | Consent in principle before signing |
Reinstatement is easy to forget, yet partitions, raised floors and new ducts all cost money to remove. Our guide to office renovation costs in Malaysia helps you price both the build and the exit.
10How to Run a Test-Fit With Interior Designers
Quick Answer: An interior designers office space test-fit takes six steps. Confirm your real head count, write a short brief and shortlist two or three units. Then get their floor plans, test-fit each one, and compare them on rent per desk and lease risk before you sign.
- Confirm your real head count: Count staff now, in two years, and on your busiest office day.
- Write a one-page brief: List desks, rooms, pantry, storage and any special needs such as a server or prayer room.
- Shortlist two or three units: Keep the comparison small enough to test-fit each one properly.
- Request plans and the fit-out guide: Ask the landlord for the floor plan, services details and building rules.
- Ask for a test-fit on each unit: Use the same brief for every unit so the results compare fairly.
- Compare and negotiate: Rank units on rent per desk and risks, then take the findings into the letter of offer.
Our guide to writing an office design brief helps with step two, and our office floor plan examples show what typical layouts look like.
11Conclusion: Draw Before You Sign
Quick Answer: A test-fit costs little and comes early, which is why it saves so much. It shows the real desk count, the building’s limits and the lease terms worth fighting for. Draw your team on two or three units before you sign, and decide on rent per desk.
If you would like an independent test-fit on your shortlist, our office interior design consultants can review your units and brief before you commit.
12Frequently Asked Questions
1. Is an office test-fit free?
Landlords and leasing agents often provide one free to win the tenancy. An independent test-fit from your own designer may carry a fee or be credited against later design work, so ask at the start.
2. How long does an office test-fit take?
For a single floor with a clear brief, usually a few working days.
3. What do I need to give the designer for a test-fit?
Your head count now and in two years, a list of rooms, the landlord’s floor plan and any building rules you have received.
4. Is a test-fit the same as a space plan?
No. A test-fit checks whether a unit works before you lease it. A space plan is the agreed layout drawn after the lease is signed.
5. Can a test-fit change the lease terms?
It can support your requests. Findings on build time, services and reinstatement give you specific points to negotiate before signing.
