Most businesses cannot close for ten weeks while the office is rebuilt. Calls, meetings and payroll carry on, so the real question is how to renovate around the people still there.
Search “office renovation company Malaysia” and most advice stops at “phase the works and do noisy jobs after hours”. This guide puts numbers on that: which tools are loud, which jobs belong at night, what after-hours work adds under Malaysian overtime rules, and what a phased programme looks like week by week.
It is written for owners and facilities managers refreshing an occupied floor. CTN Interior Solutions has designed and built office interiors in Malaysia since 2001. Every figure below is from a public source or marked as a modelled estimate.

1Can an Office Renovation Company Renovate While Your Staff Keep Working?
Quick Answer: Yes. An experienced office renovation company in Malaysia can renovate an occupied office by splitting the floor into zones, sealing each zone behind hoarding, and moving the loudest, dustiest works to nights and weekends. Staff give up some desks for a few weeks, but the business keeps running.
Renovating while you work is not one method. It is a choice between four approaches, each trading time, cost and disruption differently:
| Approach | Best for | Main trade-off |
|---|---|---|
| Move out, build in one go | Full rebuilds and M&E replacement | Rent and two moves for temporary space |
| Stay, phased zones in daytime | Light refreshes with little hacking | Noise and dust next to working staff |
| Stay, phased zones, noisy works after hours | Most occupied refurbishments | Longer programme and some after-hours cost |
| Stay, all works at night and weekends | Banks, call centres and 24/7 teams that cannot lose desks | Highest labour cost and the longest programme |
The right answer depends on how much floor you can give up at once. Our complete guide to office interior design in Malaysia explains where this decision sits in the wider project. For a lighter scope, see our guide to office retrofits in Malaysia.
2How Loud Is Office Renovation Work?
Quick Answer: Very loud at the operator. In NIOSH testing, loaded circular saws reached 102–107 dBA and hammer drills 101–103 dBA, while an orbital sander measured 74 dBA. NIOSH recommends limiting exposure to 85 dBA over an eight-hour day, so saws and hammer drills are the jobs to move out of office hours.
| Tool type | Loudest tested model | Loaded sound power |
|---|---|---|
| Orbital sander | 74 dBA | |
| Power screwdriver | 85–88 dBA | |
| Drill | 87–91 dBA | |
| Angle grinder | 95–99 dBA | |
| Jigsaw | 97–99 dBA | |
| Hammer drill | 101–103 dBA | |
| Reciprocating saw | 102–104 dBA | |
| Mitre saw | 103–104 dBA | |
| Circular saw | 102–107 dBA |
Source: NIOSH Power Tools Database, as tabulated in the New York City Department of Environmental Protection’s vendor guidance for smaller construction jobs. Bars show the loudest tested model; red = move out of office hours.
The NYC Department of Environmental Protection guidance lists NIOSH test results for each tool type. Sound power is roughly what the operator hears; staff behind hoarding hear less, but cutting noise still carries across an open floor. The NIOSH recommended exposure limit of 85 dBA is a worker-safety limit, not a comfort level for an office. Three points stand out:
- Cutting is the problem. Every saw tested was above 95 dBA. Cut boards away from the desks.
- Concrete drilling travels. Hammer drills run more than 10 dBA above standard drills, and the noise carries through the slab to other floors.
- Fixing is quieter. Screwing partitions and sanding can often happen in the day behind a sealed zone.
3Which Office Renovation Works Should Happen After Hours?
Quick Answer: Move the works that are loud, dusty or smelly: hacking out old partitions, cutting with saws, drilling into the slab, ceiling works above occupied desks, and painting or floor glue. Cabling, partition fixing and furniture assembly can usually happen in the day behind sealed hoarding.
| Task | Noise | Dust | Odour | Suggested time slot |
|---|---|---|---|---|
| Hacking out partitions and old fit-out | Very high | Very high | Low | Nights or weekends |
| Cutting boards, timber and metal (saws) | Very high | High | Low | After hours |
| Hammer drilling or coring into the slab | Very high | Medium | Low | After hours, with building approval |
| Ceiling works above occupied desks | Medium | High | Low | After hours, zone sealed |
| Painting, adhesives and floor glue | Low | Low | High | Friday night to Sunday, with fresh air |
| Carpet tile laying | Low | Medium | Medium | After hours, zone by zone |
| Screwing partitions, assembling furniture | Medium | Low | Low | Daytime, behind hoarding |
| Electrical and data cabling | Low | Low | Low | Daytime; switch-over after hours |
| Fire alarm and sprinkler tie-ins | Low | Low | Low | After hours, arranged with building management |
Illustrative planning guide by CTN Interior Solutions. Noise ratings follow the NIOSH tool data in Section 2; dust and odour ratings are planning judgements, not measurements.
Only a minority of the work is truly disruptive. Keep that minority off the clock:
- Odour outlasts noise. Paint and glue smells linger, so schedule them for Friday night with fresh air over the weekend.
- Ceilings drop dust. Opening tiles above working desks means sealing the zone or working after hours.
- Tie-ins need the building. Fire alarm, sprinkler and air-con connections need building management on site.

4Is It Cheaper to Move Out or Renovate in Phases?
Quick Answer: In our model of a 5,000 sq ft Kuala Lumpur office, moving out added about 9.6% to the cost through temporary rent, while staying and moving noisy works after hours added about 9.0%. Doing every task at night and on weekends added about 31% and more than doubled the programme.
| Approach | Base works | Protection | After-hours premium | Temporary rent | Total | Above base | Weeks |
|---|---|---|---|---|---|---|---|
| A. Move out, build in one go | 1,075,000 | 0 | 0 | 103,200 | 1,178,200 | +9.6% | 10 |
| B. Stay, phased zones, daytime works | 1,075,000 | 32,250 | 0 | 0 | 1,107,250 | +3.0% | 14 |
| C. Stay, phased zones, noisy works after hours | 1,075,000 | 32,250 | 64,500 | 0 | 1,171,750 | +9.0% | 15 |
| D. Stay, all works at night and weekends | 1,075,000 | 32,250 | 301,000 | 0 | 1,408,250 | +31.0% | 24 |
Modelled estimate by CTN Interior Solutions, not a quote. Labour assumed at 40% of base, protection 3%, temporary space 3 months. Excludes moving, after-hours air-con charges and lost productivity.
The base rate converts the Cushman & Wakefield 2026 Kuala Lumpur retrofit average at RM4.05 per US dollar, the midpoint of Bank Negara Malaysia’s end-2025 rates. The after-hours premium uses the overtime multiples summarised by RinggitPlus: 1.5 times the hourly rate on a normal day and 2 times on a rest day. Temporary rent uses JLL’s Q2 2026 Kuala Lumpur average of RM6.88 per sq ft. The model shows:
- Moving out is not free. Three months of extra rent costs about as much as a targeted after-hours plan, before two moves.
- All-night works are the extreme. Premium rates on quiet tasks add cost and save nothing.
- Daytime phasing looks cheapest. The hidden cost is staff working beside saws for 14 weeks.

5What Does a Phased Office Renovation Schedule Look Like?
Quick Answer: A typical phased plan starts with one or two weeks of enabling works, then renovates the floor zone by zone, three to four weeks each, while staff move into the finished or untouched areas. Fire and air-con tie-ins and testing come near the end, followed by snagging and handover.
| Week | Works area | After-hours works | Desks available | Meeting rooms available |
|---|---|---|---|---|
| Week 1–2 | Enabling: hoarding, floor protection, temporary IT and power | Corridor and ceiling access works | 50 of 50 | 4 of 4 |
| Week 3–6 | Zone A: west open-plan area (20 desks) | Hacking, cutting, ceiling | 30 of 50 | 4 of 4 |
| Week 7–10 | Zone B: east open-plan area (20 desks) | Hacking, cutting, ceiling | 30 of 50 | 4 of 4 |
| Week 11–13 | Zone C: reception, meeting rooms, pantry | Glass partitions, joinery, coring | 50 of 50 | 1 of 4 |
| Week 14 | Fire alarm, sprinkler and air-con tie-ins; testing | Tie-ins and alarm tests | 50 of 50 | 4 of 4 |
| Week 15 | Snagging, deep clean, handover | None | 50 of 50 | 4 of 4 |
Illustrative scenario by CTN Interior Solutions for approach C in Section 4. Programme length varies with scope, approvals and building rules.
In this plan, 20 people need another seat for eight weeks. Three ways to absorb that:
- Use hybrid days. Rotate the displaced team through home-working days.
- Borrow a meeting room. Use it as a temporary team room while the zone is closed.
- Finish a zone, then move people in. Zone A becomes the landing space for Zone B’s team.
Our guide to office layouts for hybrid work shows how to plan desk-sharing. For the full project clock, including design and approvals, see our office fit-out timeline for Malaysia.

6How Do You Keep Dust, Safety and IT Under Control in an Occupied Office?
Quick Answer: Agree the house rules before work starts: sealed hoarding and dust extraction around each zone, protected walkways, kept-clear fire exits, a permit-to-work with building management, and a cut-over plan for power and data. In an occupied office, these rules matter as much as the design.
Most Malaysian office towers set their own renovation rules. Ask for them before you sign:
| Rule | Why it matters |
|---|---|
| Permitted working hours | Some buildings allow noisy works only after hours or at weekends |
| Lift and loading-bay booking | Debris and materials move in booked slots, often at night |
| Fire alarm isolation | Detectors near dusty works may need isolating, with a fire watch in place |
| After-hours air-con charge | Running air-con for night works may be billed per hour |
| Deposit and reinstatement | Damage to common areas comes out of the renovation deposit |
Keep escape routes clear; staff are still in the building. Changes to partitions, doors or sprinklers may also need approval. DBKL has allowed some minor interior works without a principal submitting person since 2022, but fire services changes follow Bomba requirements. Our guide to office authority submissions in Malaysia explains which works need approval.
7What Should You Ask an Office Renovation Company Before You Hire?
Quick Answer: Ask how they will keep your office working: their phasing plan, which tasks they price as after-hours work, how they control dust and noise, who supervises at night, and how they report progress. A company that renovates occupied offices well will answer with a written plan, not a promise.
These questions sit on top of the usual checks on licences, finances and track record. They pick out the office renovation company Malaysia businesses can rely on for an occupied floor:
- Show me the phasing plan. Ask for a zone drawing and a weekly desk count.
- Which tasks are priced after hours? The quote should split day and night work.
- Who supervises at night? Night works need a named supervisor on site, as well as the workers.
- How do you hand back each zone? Cleaned and checked before staff return.
- How do you report? A short daily note avoids Monday surprises.
Contractors in a study of Klang Valley commercial projects in the University of Malaya’s built-environment journal ranked labour shortages and finance as the top causes of delay; night works make both harder. Our guide to vetting commercial renovation contractors in Malaysia covers the background checks, and our office fit-out service page sets out how we deliver occupied projects.
8How Do You Plan an Office Renovation While You Work, Step by Step?
Quick Answer: Start by deciding how much of the office you can give up at once, then get the building’s renovation rules. Split the floor into zones, sort tasks into day and night work, plan where each team sits during each phase, and agree daily reporting and a handback routine.
- Decide what you can give up: Work out how many desks and rooms you can lose at once, and for how long.
- Get the building rules: Ask building management for working hours, lift booking, fire isolation and air-con charges.
- Split the floor into zones: Draw three or four zones, each small enough to close for three to four weeks.
- Sort tasks into day and night: Move hacking, cutting, coring, ceiling works and painting out of office hours.
- Plan seating for each phase: Name where each displaced team sits, using hybrid days and finished zones.
- Agree reporting and handback: Set a daily update and a clean-and-check routine before each zone reopens.
Test the layout before fixing the phasing; our guide to office test-fits shows how. After handover, our article on what happens after an office renovation is handed over covers defects and aftercare.
9Conclusion: Renovate Around Your People, Not Instead of Them
Quick Answer: Renovating while you work is normal for Malaysian offices. Choose an office renovation company in Malaysia that phases the floor, moves only the loud and dusty tasks out of hours, follows the building’s rules, and shows you the plan in writing. That keeps the cost down and the business running.
Done well, your team should barely notice the works. That is the standard to hold any office renovation company Malaysia offers you to.
10Frequently Asked Questions
1. Can an office be renovated while staff are working?
Yes. The floor is split into sealed zones and loud, dusty or smelly tasks move to nights and weekends, so staff keep working elsewhere.
2. How much more does after-hours renovation cost?
In our model of a 5,000 sq ft KL office, moving only noisy works out of hours added about 9%; doing everything at night and weekends added about 31%.
3. Which renovation works are the loudest?
Saws and hammer drills. In NIOSH testing, circular saws reached up to 107 dBA and hammer drills up to 103 dBA, compared with 74 dBA for an orbital sander.
4. How long does a phased office renovation take?
Longer than a single-phase job. In our illustrative plan, a 5,000 sq ft office takes about 15 weeks phased, against about 10 weeks if staff move out.
5. Do I need building management approval to renovate my office?
Usually. Most towers set working hours, lift booking, fire alarm isolation and deposit rules, so confirm them in writing first.
