Office Interior Design Pricing Malaysia: RM per Sq Ft Tiers

TL;DR: A 2026 regional benchmark puts an all-in Kuala Lumpur office fit-out at about US$60, US$80 and US$120 per sq ft for basic, collaborative and advanced tiers. That is roughly RM243, RM324 and RM486 per sq ft at end-2025 exchange rates, before 6% service tax. The tier is set by meeting space, ceilings, air-conditioning and AV, not by finishes alone.

“How much per square foot?” is usually the first question about a new office, and the hardest to answer with one number. Search “office interior design pricing Malaysia” and you mostly find price lists that each define a square foot differently.

This guide sets out three clear tiers from an independent regional benchmark, converted into ringgit. It covers what each tier buys, how Kuala Lumpur compares with its neighbours, what a project costs with tax, and what the office costs over the lease.

It is written for owners, finance heads and admin managers who need a defensible budget before asking for quotes. CTN Interior Solutions has designed and built offices in Malaysia since 2001. The figures below come from public sources, not from our own price list.

1. Office Interior Design Pricing Malaysia: What Does Each Tier Cost per Sq Ft?

Quick Answer: For Kuala Lumpur, the Cushman & Wakefield Asia Pacific Fit Out Cost Guide 2026 gives all-in fit-out costs of US$60, US$80 and US$120 per sq ft for its basic, collaborative and advanced tiers. At RM4.05 to the US dollar, that is about RM243, RM324 and RM486 per sq ft.

Two points matter when reading these figures. First, the guide calls them “all-in” costs and says its cost section covers furniture, M&E, builder works, AV and IT, and other items. Second, it describes them as indicative benchmarks rather than fixed project costs, priced as at December 2025.

The ringgit figures use Bank Negara Malaysia’s exchange rates for 31 December 2025, when the dollar bought between RM4.037 and RM4.062. A swing of 10 sen moves the collaborative tier by about RM8 per sq ft.

These benchmarks track international-standard fit-outs. Local offices that keep the existing ceiling, reuse air-conditioning and buy local furniture often come in lower.

Key takeaway: Use about RM243, RM324 and RM486 per sq ft as reference points for basic, collaborative and advanced fit-outs in Kuala Lumpur, then adjust for what your floor already has.

2. What Do You Get in Each Office Interior Design Price Tier?

Quick Answer: Each tier is defined by how much of the floor becomes meeting space and how far the work reaches into ceilings, air-conditioning and technology. Basic keeps most building services as they are. Collaborative adds rooms and better finishes. Advanced rebuilds ceilings, adds dedicated cooling and fits heavily tech-enabled rooms.

The guide’s tier definitions are useful because they describe scope, which is what you control. In plain terms:

What each office fit-out tier typically includes.
Item Basic Collaborative Advanced
Meeting spaceUnder 10% of floor10–20%, part single-glazedOver 25%, double-glazed
CeilingAlterations to under 25%Plasterboard in meeting roomsAlterations to over 25%, feature ceilings

Floors and wallsCarpet throughout, paintCarpet and vinyl, reception feature wallHigh-spec carpet, feature finishes
Support spacesBasic pantry, generic roomsLarger breakout, mixed roomsHospitality-style client areas, focus zones

Most Malaysian tenants sit between basic and collaborative. The jump to advanced usually comes from many enclosed rooms, full video conferencing and a hotel-style reception. Our guide to MD rooms and boardrooms shows why those rooms cost more per sq ft than open desks.

For the full scope of an office fit-out, including landlord works and approvals, our complete guide to office interior design in Malaysia walks through each stage.

Key takeaway: Choose your tier by counting rooms and services, not by picking a finish sample. Meeting space, ceilings and cooling drive the price.

3. How Does Kuala Lumpur Office Fit-Out Pricing Compare in Southeast Asia?

Quick Answer: Kuala Lumpur sits in the middle of Southeast Asia. Its collaborative benchmark of US$80 per sq ft is below Singapore (US$140), Manila (US$105) and Bangkok (US$91). It is above Hanoi, Ho Chi Minh City and Jakarta, which range from US$58 to US$63 in the same 2026 guide.

Regional companies often compare a Malaysian quote with a Singapore one. On these figures, a collaborative fit-out in KL costs a little over half the Singapore level, at 57%. The gap is widest at the advanced tier, where Singapore reaches US$212.

The guide ranks Kuala Lumpur 22nd of 33 Asia Pacific cities by average cost. If your head office sets one regional budget, our guide to MNC office design in Malaysia explains which global standards change cost locally.

Key takeaway: A Kuala Lumpur fit-out costs a little over half the Singapore benchmark, so a regional budget written for Singapore will usually stretch to a higher tier here.

4. What Will a Whole Office Project Cost With Tax?

Quick Answer: Multiply the tier rate by your floor area, then add 6% service tax on construction work and the CIDB levy of 0.125% for contracts above RM500,000. On our model, a 5,000 sq ft collaborative fit-out comes to about RM1,719,225 all in.

Modelled estimate by CTN Interior: tier rates from the Cushman & Wakefield 2026 guide at RM4.05 per US$; tax applied to the whole contract for simplicity; levy at 0.125% of contract value above RM500,000. Real tax depends on how works, supply and furniture are split.

The tax rules come from public sources. Grant Thornton Malaysia’s summary sets out the 6% service tax on construction work from 1 July 2025, with residential buildings excluded. The CIDB project declaration page explains the 0.125% levy on contracts above RM500,000.

Three things change the real figure most:

  • What is already there. A floor with a usable ceiling grid and working air-conditioning can drop a tier on cost.
  • Furniture choice. Imported systems furniture can swing a budget more than any finish.
  • How the contract is split. Separate design, build and furniture contracts change how tax and levy apply.

For a deeper split of where the money goes, see our breakdown of office renovation cost in Malaysia.

Key takeaway: Add about 6% on top of any pre-tax quote before you compare it with your budget, and check whether the levy is included.

5. Why Do Office Interior Design Quotes per Sq Ft Differ So Much?

Quick Answer: Per sq ft quotes differ mainly because they cover different scopes. One may include furniture, M&E, AV, design fees and approvals, while another prices only partitions, ceilings and finishes. Line up what each quote includes before comparing the headline rate, or the cheapest quote may simply be the least complete.

Items that are often left out of a low per sq ft quote:

  • M&E works. Air-conditioning changes, power, lighting and fire-system relocation are frequently priced separately.
  • Furniture and workstations. Some quotes cover built-in joinery only, not loose desks and chairs.
  • AV, IT cabling and access control. These may be left to the tenant’s IT vendor.
  • Design and project management fees. Some firms charge these as a separate percentage or lump sum.
  • Authority submissions and landlord charges. Plans, approvals, building deposits and after-hours work fees.

Also ask which area each rate is based on: net lettable area or the area actually worked on.

Our guide on how to compare three office fit-out quotes fairly shows a worked levelling exercise, and our article on lump sum, percentage and per sq ft design fees explains the fee side. A one-stop renovation package bundles many of these items, so check what “all-in” covers.

Key takeaway: Compare quotes line by line, on the same area and scope. The headline rate only means something once the exclusions are listed.

6. What Does Office Interior Design Cost Over a Whole Lease?

Quick Answer: Over a three-year lease, rent can cost as much as the fit-out. At the RM6.88 per sq ft monthly Grade A rent reported for mid-2026, three years of rent adds about RM248 per sq ft. Add around RM40 for average reinstatement, and the tier choice becomes one part of a larger sum.

End of year 1326407569
End of year 2408489651
End of year 3491572734
Year 3 plus reinstatement531612774

Modelled estimate by CTN Interior: fit-out from the Cushman & Wakefield 2026 guide at RM4.05 per US$ (before tax); rent at RM6.88 per sq ft per month (JLL, Q2 2026); reinstatement at the guide’s US$10 average. Service charges, tax and rent rises are excluded.

The rent figure is JLL’s Q2 2026 average for Kuala Lumpur prime offices. Outside the city centre, Knight Frank figures reported by The Edge put Petaling Jaya at RM4.61 per sq ft a month, which lowers the rent share.

What this means for pricing decisions:

  • Space is the bigger lever. Every 500 sq ft you avoid leasing saves about RM41,280 a year in KL prime rent, plus its fit-out.
  • Short leases punish advanced tiers. On a three-year term, an advanced fit-out is close to half the total cost.
  • Reinstatement is a real line. Price it before signing, not at move-out.

A test-fit before you lease is the cheapest way to check how much space you really need.

Key takeaway: Judge the fit-out tier against the lease length. The longer you stay, the more an extra RM100 per sq ft is spread across useful years.

7. How Can You Lower Office Fit-Out Cost per Sq Ft?

Quick Answer: The biggest savings come from scope rather than cheaper materials. Keep the existing ceiling and air-conditioning where they work and build only the rooms you will book. Reuse sound furniture, and fix the layout before tender so late changes do not add variation orders.

Practical ways to bring the rate down without making the office feel cheap:

  • Reuse what works. Test the existing ceiling grid, lighting and air-conditioning before replacing them.
  • Right-size the rooms. HubStar’s Hybrid Occupancy Index found 64% of meetings happen in rooms for four or fewer. Small rooms need less glass, ceiling work and cooling than boardrooms.
  • Spend where people look. Put feature finishes in reception and meeting areas, and keep the open floor simple.
  • Freeze the plan early. Changes during construction cost far more than changes on paper.
  • Consider a retrofit. An older floor in good shape can be refreshed for less than a full new fit-out.

Our guides on what a good floor plan should include and on upgrading an older Malaysian office floor cover these levers in more detail.

Key takeaway: Cut cost by cutting scope you do not need. Downgrading finishes in the rooms clients see is the most visible way to save, and usually the least effective.

8. How Do You Set an Office Interior Budget in Malaysia?

Quick Answer: Start with your headcount and room list, choose a tier from the benchmarks, then multiply by your floor area. Add 6% service tax, the CIDB levy where it applies, professional fees, approvals and a contingency. Check the figure against the lease length before you invite quotes.

  1. Count people and rooms: List headcount, growth over the lease, and every enclosed room you need.
  2. Pick a tier: Match your room count, ceiling and cooling needs to basic, collaborative or advanced.
  3. Multiply by area: Use the area that will actually be worked on, and note what the floor already has.
  4. Add tax, levy and fees: Add 6% service tax, the 0.125% levy above RM500,000, design fees and approvals.
  5. Add contingency and reinstatement: Hold a reserve for surprises and price lease-end reinstatement now.
  6. Test against the lease: Spread the total over the lease years to see the true yearly cost.

Timing affects cost as well, because rent often starts before the office is ready. Our week-by-week office fit-out timeline shows where delays usually come from, and our guide to office authority submissions covers the approvals you should budget for.

Key takeaway: A budget built from rooms, area, tax and lease length gives you a figure you can defend before any contractor names a price.

9. Conclusion: Office Interior Design Pricing Malaysia Starts With Scope

Quick Answer: Office interior design pricing in Malaysia makes sense once scope is fixed. Benchmarks of about RM243, RM324 and RM486 per sq ft give three reference points for Kuala Lumpur. Your own figure depends on meeting space, existing services, furniture, tax and how long you will stay.

10. Frequently Asked Questions

1. What is the average office interior design price per sq ft in Kuala Lumpur?

A 2026 regional benchmark puts a collaborative fit-out at about US$80 per sq ft, or around RM324 at end-2025 exchange rates. Basic is about RM243 and advanced about RM486, before 6% service tax.

2. Does the per sq ft price include furniture?

In the regional benchmark, yes: its all-in figures cover furniture, M&E, builder works, AV and IT. Local quotes vary, so check whether loose furniture and workstations are included or priced separately.

3. Is service tax charged on office fit-out in Malaysia?

Since 1 July 2025, 6% service tax applies to construction work services, with residential buildings excluded. How it applies to your contract depends on how works, supply and furniture are split.

4. How much does office reinstatement cost in Kuala Lumpur?

The same 2026 guide gives US$6 to US$14 per sq ft for Kuala Lumpur, with an average of US$10. That is roughly RM24 to RM57 per sq ft, depending on what the lease requires you to remove.

5. Why is my quote much lower than the benchmark?

It may reuse existing ceilings and air-conditioning, leave out furniture, AV or fees, or price a smaller area. Compare scope line by line before assuming one quote is better value.
